Restaurant GST reporting with POS data

By Restrologic team Published Updated

GST for Indian restaurants is more than a tax sum. It is a multi-rate, multi-format and often multi-state obligation that catches chains out in every filing cycle. Without the right technology, the monthly burden is measured in accounting hours and error risk.

This article explains the structure. Rates, thresholds and notifications change, so check current rules with your chartered accountant before you act.

Why is restaurant GST more complex than most industries?

A manufacturer may sell one product at one rate. A restaurant may need different treatment for different items on one bill, depending on factors that can change order by order. The main points are:

  • the rate for restaurant service depends on the type of premises, for example a standalone restaurant or one inside a hotel
  • alcohol attracts state-specific levies, separate from GST on the food
  • packaged food supplied separately can be treated differently from restaurant service
  • catering and outdoor catering have their own treatment
  • a composition scheme for small businesses simplifies compliance but limits input tax credit (ITC) claims

A chain with outlets in hotels, standalone dine-in locations and cloud kitchens may apply different treatments across its own network, each with different ITC consequences. Managing that by hand across many outlets creates errors in every cycle.

What makes multi-state compliance harder?

A chain with outlets in several states needs a separate registration in each, files separate returns for each and must handle inter-state supplies, such as central corporate catering or stock moved between state warehouses, correctly under the IGST framework.

Each registration brings recurring work:

  • a monthly return of outward supplies (GSTR-1)
  • a summary return of outward supplies and ITC claims (GSTR-3B)
  • an annual return that reconciles the year (GSTR-9)
  • reconciliation of your purchase invoices against what suppliers have uploaded to the GST portal
  • e-invoicing for businesses above the turnover threshold, with an invoice reference number and QR code on B2B invoices

Preparing these from POS data by hand for many outlets takes a team several days every cycle, and the risk of mismatches between returns stays high.

Which GST errors are most common?

Chains that handle GST manually make predictable mistakes. They pay too much tax from wrong rates, miss ITC claims from failed reconciliation, or file mismatches that attract notices.

How does a wrong rate creep in?

The most common error is applying the wrong rate to a transaction type. A POS that does not separate standalone restaurant service from hotel restaurant service, or that mishandles alcoholic and non-alcoholic items on one bill, produces systematic errors. Over a month of high volume they add up.

Why do ITC claims fail?

Restaurants on the regular scheme can claim ITC on goods and services used in the business, such as equipment, supplies and packaging. A claim is valid only if the supplier has uploaded the invoice correctly and you have matched your purchase records to the portal data. Manual reconciliation across many suppliers and states is slow and usually incomplete. A missed claim is cash you paid and did not recover.

What goes wrong with B2B invoices?

Chains that cater for corporate clients or supply packaged products must classify those as B2B, with the customer’s GSTIN on the invoice, and keep them separate from B2C restaurant sales. Mixing them up creates mismatches in the monthly outward supplies return and brings notices.

What does e-invoicing add?

E-invoicing adds a technical step on top of existing GST for businesses above the turnover threshold. Each B2B invoice must be registered on the government’s Invoice Registration Portal and receive an invoice reference number and QR code before it counts as a valid tax invoice.

For chains that issue B2B invoices regularly, such as to catering clients, hotels or related companies, invoice generation must connect to the portal. Creating invoices in Excel or a standalone tool and uploading them in batches invites errors, rejections and gaps that cause trouble in an audit.

How does POS data automate GST calculation?

A POS that knows which rate applies by transaction type, outlet type and item category removes most rate errors at the source. It applies the right rate to each line, creates a compliant bill and records structured data that flows into return preparation without re-entry. Restrologic POS handles CGST, SGST and aggregator tax liability for this reason.

What does the full pipeline look like?

  • The POS captures every transaction with the right classification and rate.
  • The data flows to a central system that groups it by state and registration for return preparation.
  • Supplier invoice data flows into the same system and is matched against portal data for ITC reconciliation.
  • Return files are generated from consolidated POS data and reviewed before filing.
  • E-invoice generation is triggered automatically for qualifying B2B transactions.

Working well, this cuts the monthly effort from days of manual work to hours of review and approval. It removes the errors from re-keying across formats. And it leaves an audit-ready data trail that is far easier to defend in a notice than hand-built reconciliation sheets.

Can automation reduce dependence on your CA?

Many chains lean heavily on their chartered accountant firm for monthly filing. That is expensive, slow when the firm serves many clients, and fragile if the relationship changes.

Automation does not replace the CA. A CA adds value in tax planning, audit defence and judgement on complex classification. What automation removes is the routine preparation work that takes most of the hours. A team that used to spend a long time compiling data from POS exports, spreadsheets and supplier invoices can review and approve filings that the system has prepared. That lowers fees, improves accuracy and makes the relationship more strategic.
